Office and Program Assistant

Social Justice Fund is a member-funded foundation that supports the creation of a just society through fundraising, grantmaking, and member involvement.  The foundation provides essential resources to organizations in Idaho, Montana, Oregon, Washington, and Wyoming to strengthen grassroots efforts in the broad-based movement for progressive, systemic social change.

Position Summary
Under the supervision of the Executive Director, the Office and Program Assistant is responsible for the administrative needs of the Social Justice Fund.  As part of a staff of three, this person will contribute to all aspects of the organization’s work, including supporting program work.  This is a 3/4 time position.

Qualifications and qualities
Required:
•    Administrative experience in a non-profit setting
•    Computer skills including Microsoft Office and databases (eTapestry a plus)
•    Experience working with members at a membership organization
•    Willing to work as a team on a variety of tasks
•    Flexibility to work some evenings and weekends
•    Good phone and written communication skills
•    Strong editor
•    Demonstrated commitment to social justice issues
•    Experience working with people from diverse backgrounds
•    Sense of humor

Desired:
•    Fundraising experience
•    Facilitation experience
•    Experience with SJF members and/or grantees
•    Web design skills

Duties and Responsibilities

1.     Fundraising and Development
•    Input membership gifts into eTapestry database, make routine address changes
•    Prepare thank-you letters and new member packets
•    Prepare mailing lists for newsletters, Annual Report, special events and as otherwise required
•    Assist with scheduling donor visits
       
2.    Giving Project Support

•    Assist with logistics of meetings.
•    Assist at events, including setting up, breaking down and other tasks as needed
•    Assist with communication with participants

3.    Office Management
•    Maintain office filing and storage systems
•    Keep filing/document management system for electronic and paper documents organized
•    Monitor and order office supplies
•    Perform errands that assist daily functions:  post office, printers, Office Depot, etc
•    Maintain organizational calendar

4.    Finance

•    Managing Accounts Payable by recording and preparing all invoices and grant agreements.
•    Assist Executive Director in reconciling fundraising and granting income/expenses on a monthly basis.

5.    Grants Administration

•    Input grant proposal information into Access database, update grant status as necessary
•    Prepare and track grant paperwork to be sure all necessary documents are on file

6.    Communications
•    Design and send Justice Journal emails using articles collected from staff
•    Design other mass emails for announcements and invitations as necessary
•    Update website monthly with latest Justice Journal
•    Update other information on website as necessary
•    Update Facebook weekly
•    Maintain communications calendar

7.    Staff Assistance
•    Research, typing, correspondence, faxes and filing
•    Prepare Board Manuals for Board Members
•    Keep updated Board contact and Staff contact list

8.    Perform other tasks as identified by the Executive Director
